Accessing the User Management Page
Navigate to Users → All Users to view the full list of users in your school. Each user entry includes essential information such as registration date, last login, and user role.
All Users Page Overview
Here are the key options in the All users page:
Functionality | Description |

Add User | Add an individual user directly from this page. |
Search by Name | Quickly locate a user by typing their username or email |
Filter Records | Filter by product, date, role, status, or tags to narrow your results. |
Bulk Actions | Perform bulk actions to import, enroll, tag, unenroll, suspend, or delete users. |
Export Reports | Export user lists to CSV or Excel format using specific filters. |
User Roles & Permissions
In the Learning Center plans or higher, you can assign different roles when adding or editing a user. These roles determine what each user can see and manage.
User Roles Levels:
- LearnWorlds admin: The LearnWorlds admin has full authoring access to the LearnWorlds school.
- Admin: Full access to all or some areas of the platform.
- Instructional: Access limited to specific courses.
- Reporting: View-only access to designated courses and data.
- User Group & Seat Manager: Manage users within assigned groups or seats.
- Affiliate: Created via the built-in Affiliate Management Tool.
Social Login (Facebook, Twitter, LinkedIn, Google, Apple) icons, appear next to users who signed up using those methods.
Role User Icons:
To determine the Role Levels of users in your online school, refer to the icon descriptions listed below. These icons are displayed next to each user's name.

Managing Individual Users
To efficiently manage your user—such as editing their profiles, updating their status, or managing their products—hover over the three dots next to the user you want to modify.

Profile | Edit User | Open and modify the user's details. |
Update Password | Set a new password for the user manually. | |
Reset Password | Trigger a password reset email to the user's registered email address. | |
Resend Activation Email | Resend the account activation email for users who haven’t logged in. | |
Send Message | Send a direct message to the user. | |
Login as this User | Access the platform as the user for testing or troubleshooting purposes. | |
Products | Enroll in Product | Manually enroll the user in a product. |
Remove Product | Unenroll the user from a specific product. | |
Update Progress | Manually set or adjust the user's progress. | |
Remove | Suspend Account | Temporarily disable the user’s access without deleting their data. |
Anonymize Account | Suspends the user and replaces their data with an anonymous ID. | |
Delete Account | Permanently delete the user and all associated data from the platform. | |
Security | Reset Two-Factor Authentication | If 2FA is enabled, reset the user’s setup to allow reconfiguration. |
Groups/Seats | Add/Remove from Group or Seat | Assign or remove the user from a specific User Group or Seat Offering. |
Viewing User Details with the User Card
Click on a user's name to open the User Card (full profile view). This detailed view helps you monitor engagement, track progress, and personalize support.

Advanced Search
Click on the Advanced Search tab to filter users by detailed criteria and create user segments. This allows for powerful targeting and reporting. Learn how to create user segments in this article.
Bulk Actions & Multiple Selection
You can select multiple users and apply bulk actions, depending on your plan:
Plan | Bulk Actions Available |
Learning Center or higher | All bulk actions are enabled. |
Pro Trainer | Add and tag users only. |
Starter & Trial | No bulk actions available. |
Bulk actions include enrolling/removing users from courses, tagging, updating progress, suspending, or deleting users. To select multiple users, click on the users you want to perform actions on and choose one of the available bulk actions.
